1. About This Policy

ClariMed RCM LLC (“ClariMedRCM,” “we,” “us,” or “our”) provides revenue cycle management and related services to healthcare organizations. This Privacy Policy explains how we handle information gathered through our public website at www.clarimedrcm.com (the “Site”). It is written so you can see, in plain terms, what we collect, why we collect it, who we share it with, and the choices you have.

This Policy applies only to activity on the Site. It does not cover information we receive offline or through our client service platforms, and it is separate from the protections we apply to Protected Health Information (PHI), which are governed by our HIPAA Compliance Policy and the Business Associate Agreements we sign with our clients. Where PHI is involved, those documents not this Policy control.

By using the Site, you accept the practices described here. If you do not agree with them, please do not use the Site.

2. Who We Are

References to ClariMed RCM in this Policy include ClariMed RCM LLC together with its subsidiaries and affiliates in the United States and Sri Lanka, including its offshore delivery affiliate, Quantis Solutions (Pvt) Ltd, based in Colombo, Sri Lanka. The Site is directed to a United States audience. Depending on the service, information submitted through the Site may be handled by our teams in the United States or by our offshore delivery affiliate under the safeguards described in Section 7.

3. Information We Collect

Information you give us

You can browse most of the Site without telling us who you are. When you choose to contact us, request a demo or consultation, subscribe to updates, apply for a role, or set up an account, we may ask for details such as your name, employer or organization, job title, mailing address, email address, and phone number. If you send us a message, we also receive whatever you include in it, along with any attachments.

Information collected automatically

Like most websites, our servers and analytics tools record certain technical details each time the Site is visited for example, IP address, browser and device type, internet service provider, referring and exit pages, and the date, time, and duration of the visit. This information is aggregated and is not used, on its own, to identify you. We rely on it to keep the Site running, understand how it is used, and improve it over time.

4. How We Use Information

We use the information we collect for legitimate business purposes, including to:

1. Operate, maintain, secure, and improve the Site and your experience of it;
2. Respond to your enquiries, process your requests, and provide customer support;
3. Evaluate and process applications, including employment applications, that you submit to us;
4. Send you service updates, and where you have not opted out relevant marketing, event, and promotional communications;
5. Analyze usage and trends so we can develop and refine our services and content;
6. Keep accurate records of our communications and transactions;
7. Comply with applicable law, respond to lawful requests, and enforce our terms; and
8. Protect the safety, rights, and property of our users, our company, and others.

5. Cookies and Tracking Technologies

We and selected service providers use cookies and similar technologies (such as web beacons and pixels) to remember your preferences, keep certain features working, measure how the Site performs, and tailor the content you see. Cookies are small files placed on your device by your browser.

Most browsers accept cookies automatically, but you can adjust your browser settings to refuse them or to alert you when one is being set. Instructions are available in your browser’s help pages. Please note that some parts of the Site may not work as intended if cookies are disabled.

6. Advertising and Third-Party Services

We may run campaigns and maintain a presence on third-party platforms such as Google, Facebook, Instagram, LinkedIn, and X (formerly Twitter). These providers may use cookies, web beacons, or similar tools within their ads and links to gauge campaign performance and personalize what you see. When that happens, they receive your IP address and other technical signals directly.

We do not control these third-party technologies and are not responsible for how those companies handle your information. We also do not share personally identifiable information with ad networks except with your consent or as part of a feature you have chosen to use. Their practices are governed by their own privacy policies, and we encourage you to review them.

7. Offshore Processing and International Transfers

ClariMedRCM operates a global delivery model. Information submitted through the Site may be accessed or processed by our personnel and affiliates outside the United States, including our team in Sri Lanka, in order to deliver and support our services. Wherever information is handled, we apply consistent contractual, administrative, technical, and physical safeguards, and where the information constitutes PHI, the additional protections required under HIPAA and our Business Associate Agreements.

8. How We Share Information

We do not sell your personal information. We share it only where it is reasonably necessary, including with: service providers and affiliates who help us operate the Site and deliver our services; professional advisors such as auditors and legal counsel; and authorities or other parties when required by law, to respond to legal process, or to protect the rights, safety, and property of ClariMedRCM, our clients, or others. In the event of a merger, acquisition, or similar transaction, information may be transferred as part of that deal, subject to this Policy.

9. Your Choices and Privacy Rights

You have meaningful control over your information. Depending on where you live and the law that applies to you, these rights may include the ability to:

• Access - Ask for a copy of the personal information we hold about you;
• Correct - Ask us to fix information that is inaccurate or incomplete;
• Delete - Ask us to erase your personal information, subject to certain conditions;
• Restrict or object - Ask us to limit or stop certain processing of your information;
• Portability - Ask us to provide your information, or transfer it to another organization, in a usable format; and
• Opt out - Unsubscribe from marketing messages, or ask that we not share your information with nonaffiliated third parties, except as the law requires.

To exercise any of these rights, contact us using the details in Section 12. We will respond within the timeframe required by applicable law (generally within one month). We may need to verify your identity first, and in some cases limiting the information you share with us may affect the services we can provide.

10. Text Message (SMS) Consent

If you provide us a mobile number, you consent to receive SMS or text messages from us or those acting on our behalf at that number including service-related messages and, where permitted, account or marketing messages. You confirm the number is yours and that you are allowed to receive texts at it. Standard message and data rates may apply, and message frequency varies. You can opt out at any time by replying STOP or by contacting us at compliance@clarimedrcm.com; we may modify or discontinue the program at any time. Opting out may affect certain Site features.

11. Data Security and Minors

We maintain reasonable administrative, technical, and physical measures designed to guard the information you provide against loss, misuse, and unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is completely secure, however, so while we work hard to protect your information, we cannot guarantee it against every risk, including the unlawful acts of third parties.

The Site is not directed to minors, and we do not knowingly collect personal information from minors under 13 without verifiable parental consent. If you believe a minor has provided us information through the Site, please contact us and we will take reasonable steps to delete it. We encourage parents and guardians to stay involved in the online activity of minors in their care.

12. Changes and How to Reach Us

We may update this Policy from time to time. Changes take effect when we post the revised version on the Site, and your continued use of the Site means you accept the current Policy.
